Red Ruby Hotel – Booking Policy
Thank you for choosing Red Ruby Hotel. This Booking Policy outlines the terms and conditions related to room reservations, guest responsibilities, payments, and modifications. By making a reservation with us—either through our website, a third-party platform, by phone, or in person—you agree to comply with the following terms.
1. Eligibility to Book

Guests must be at least 18 years of age to make a reservation.

A valid government-issued ID or passport must be presented at check-in.

Group bookings of more than five (5) rooms may be subject to additional terms.
2. Reservation Confirmation

All bookings are considered confirmed only upon receipt of a confirmation email or SMS.

When booking online or through a travel agent, ensure you receive a booking reference number.

A credit/debit card may be required to guarantee the reservation.
3. Check-In and Check-Out

Check-in time: From 2:00 PM

Check-out time: By 11:00 AM

Early check-in or late check-out is subject to availability and may incur an additional charge.

Guests who overstay without prior notice may be charged for an additional night.
4. Deposit and Payment

A deposit of 50% may be required at the time of booking to secure your reservation, especially during peak seasons or public holidays.

The remaining balance is payable at check-in or as per the agreed terms.

Payments can be made via credit card, debit card, mobile money (Mpesa), or cash.

Red Ruby Hotel reserves the right to pre-authorize credit cards prior to arrival.
5. Rates and Taxes

All room rates are inclusive of VAT and local levies, unless stated otherwise.

Rates may fluctuate depending on demand, season, or promotional offers.

Special rates (e.g., corporate, group, or promotional codes) are non-transferable and may require ID verification.
6. Booking Modifications

Guests may modify their booking (subject to availability) by contacting our reservation desk at least 48 hours before arrival.

Modifications include change of stay dates, room types, or guest details.

Rate differences due to modifications will apply and must be paid prior to check-in.
7. Cancellations and No-Shows

Free cancellation is allowed up to 48 hours before check-in date.

Late cancellations (within 48 hours) will result in the forfeiture of the deposit or one night’s stay.

No-shows will be charged 100% of the first night and the remaining reservation will be cancelled.

Group bookings and special promotions may have custom cancellation policies.
8. Children and Extra Beds

Children aged 0–5 years stay free when sharing a bed with a parent/guardian.

A crib or extra bed can be provided upon request (subject to availability).

Children aged 6–12 years may stay at a reduced rate. Additional charges apply for older children or adults.
9. Pets

Pets are not allowed on hotel premises unless they are certified service animals.

Advance notice and documentation are required for service animals.
10. Special Requests

We aim to fulfill all reasonable special requests (e.g., room location, dietary needs), but these are not guaranteed and are subject to availability.

11. Guest Responsibilities

Guests are expected to behave respectfully and maintain hotel property in good condition.

Any damage to hotel property, loss of room keys, or breach of rules may result in extra charges or removal from the premises.

Red Ruby Hotel is not responsible for loss or damage to guest belongings unless stored in a designated secure facility.
12. Force Majeure
The hotel is not liable for delays, cancellations, or failure to perform due to circumstances beyond its reasonable control, including natural disasters, travel bans, strikes, civil unrest, or pandemics.
